The Most Overlooked Part of Event Planning: Guest Comfort

When planning an event, it’s easy to get caught up in how everything will look. You spend time choosing the décor, planning the entertainment, organising the food, and making sure the marquee has that all-important wow factor.

But there’s another part of event planning that can have an even bigger impact on how guests remember the day: comfort.

Guests might admire your flowers or lighting when they arrive, but if they spend the evening feeling too cold, struggling to find somewhere to sit, or queuing endlessly for the toilets, those are the details they’re likely to remember too.

The best events don’t just look good. They feel good to be at. Here are some of the practical details that can make all the difference.

Give People Somewhere Comfortable to Sit

Even at events where you expect people to spend most of their time mingling or dancing, comfortable seating matters.

Not everyone wants—or is able—to stand for hours. Older relatives, families with children, and guests wearing formal shoes will particularly appreciate having somewhere to take a break.

Think beyond dining chairs too. Adding a few relaxed seating areas with sofas, armchairs, benches, or other informal furniture can create comfortable spaces for conversation away from the busiest parts of the marquee.

The key is making sure there’s enough seating without filling every available metre and making the space difficult to navigate.

Prepare for Changing Temperatures

British weather rarely makes event planning straightforward.

A warm afternoon can quickly turn into a chilly evening, while a sunny summer day can make an enclosed space surprisingly warm. Planning for both possibilities keeps everyone comfortable whatever happens outside.

On warmer days, opening marquee sides where appropriate can encourage airflow and help guests stay connected to the outdoor setting. Shade is equally important, particularly for daytime events.

When temperatures fall, suitable heating can make the difference between guests leaving early and happily staying into the evening.

Don’t Treat Toilets as an Afterthought

Nobody chooses an event because they're excited about the toilets, but poor facilities can quickly become a talking point for all the wrong reasons.

Consider how many guests you're expecting, where facilities will be positioned, and how easily people can reach them. For events on private land or in locations without suitable permanent facilities, temporary toilet units may be needed.

Positioning matters too. They should be convenient without becoming part of the main event space, and routes to them should remain easy to navigate after dark.

Accessibility should also be considered so that facilities work comfortably for everyone attending.

Make Sure There’s Enough Shelter

A marquee already provides valuable protection from the elements, but think about how guests will use the wider site as well.

Are people expected to walk between different areas? Is the bar outside? Are there outdoor seating areas? What happens if everyone suddenly needs shelter because it starts raining?

Make sure the covered space can comfortably accommodate your guests rather than relying on everyone spending most of the day outside.

During hot weather, shelter matters for the opposite reason too. Providing plenty of shade gives guests somewhere to escape direct sunshine without forcing them indoors completely.

Use Lighting for More Than Atmosphere

Fairy lights, festoon lighting, chandeliers, and uplighting can make a marquee look fantastic, but lighting also has an important practical job.

Guests need to see where they're going.

Entrances, walkways, steps, parking areas, toilets, and routes between different parts of the event should be properly illuminated once daylight disappears.

Inside the marquee, finding the right balance matters. You want enough light for guests to eat, talk, and move comfortably while still creating the atmosphere you're after.

Good lighting should look beautiful without sacrificing practicality.

Make It Easy to Move Around

Guest comfort is also about how easily people can navigate the event.

If tables are packed too closely together, the bar creates a bottleneck, or guests constantly have to squeeze past furniture, the space can quickly feel crowded even when the marquee itself is large enough.

Think about the natural routes people will take between entrances, tables, bars, toilets, dance floors, and outdoor spaces.

Clear walkways and sensible zoning help everyone move naturally without even thinking about it—and that's usually a sign that the layout is working well.

Comfortable Guests Stay and Enjoy Themselves

Guest comfort might not be the most glamorous item on your planning list, but it influences almost every part of the experience.

Good seating encourages conversation. The right temperature keeps people relaxed. Convenient facilities prevent frustration. Thoughtful lighting and layouts allow guests to move around safely and easily.

Individually, these might seem like small details. Together, they create an event where people genuinely want to stay.
